Privacy Notice

As a member of ESSA, we treat your privacy and personal data with respect and protect it. This Privacy Notice ("Notice") sets out our commitment to protect your rights as well as how we manage, use and handle the following information collected from you through your use of the website or other communications with our users.

The provision of your personal information to us is voluntary. However, without providing us with your personal information, your use of our services or your interaction with us may be restricted. For example, you may be unable to attend one of our events without first registering.

1. Information we may collect from you

We collect information about you:
(a) Directly whenever you interact with us. For example, when you contact us, register for our activities, request more information, or send or receive information, engage with our social media or make a donation to us.
(b) Indirectly from third parties as set out in this work. For example, if you are redirected from a third-party activity site. Just being sent generic Permission identifiers from you and information about you.
(c) Whenever you visit our website. For example, we automatically collect information about your computer, including (where available) your IP address, operating system and browser types.

2. Where and how we store your personal information

In order to administer the site, the information you supply may be transferred and processed at a destination outside the European Economic Area (EEA). It may be processed by staff operating outside the EEA who work for us or for our service providers.

(b) to communicate with you with news and information about ESSA and our work through our newsletter;
(c) to provide you with the services you have requested (for access to teaching materials or subscription to our newsletter);
(d) to conduct research about how our website is being used;
(e) to provide information about our events or other educational initiatives;
(f) to further our charitable aims in general including fundraising activity;
(g) to analyze and improve our services, activities, or information; and to enhance your website experience and internal records;
(h) to ensure your application as a learner or volunteer is administered;
(i) to satisfy legal obligations, whether binding upon us, for example by relevant regulatory, government bodies with whom we may verify; and/or
(j) for the establishment, exercise or defense of legal claims.

4. Lawful basis

The GDPR requires us to rely on one or more lawful bases to process your personal information. Our research for processing is showing to be relevant:
(a) where you have provided your consent for us to use your personal information in a certain way (for example, we will ask for your consent to use your personal information to send your our newsletter);
(b) where it is necessary for us to comply with a legal obligation to which we are subject (for example, where we are obliged to share your personal information with regulatory bodies which govern our work and activities);
(c) where it is necessary for the performance of a contract to which you are a party or to take steps at your request prior to entering a contract (for example, if you apply to work for us or volunteer with us).

5. Communications for marketing and fundraising

We may use your contact details to provide you with information about our work, events, services and or products which we consider may be of interest to you (for example, about events you previously attended or about membership applications and our work raising funds to support our research).

You can opt out of receiving emails from ESSA at any time by clicking the "unsubscribe" link at the bottom of our emails.

6. How long do we keep your personal information?

In general, unless still required in connection with the purpose for which it was collected and/or processed, we remove your personal information from our active records five years after:
(a) it was collected; (b) the last date you used your personal information for a purpose in connection with our purposes; or (c) we are no longer legally entitled to possess it (if you satisfy certain specific criteria [please see Section 8 below]).

7. Will we share your personal information?

We do not share, sell or rent your personal information to third parties for marketing purposes. However, in general we may disclose your personal information to selected third parties if they are tied to the bases for processing set out in this Notice.
Such selected third parties may include:
(a) partner organizations in the EEA;
(b) suppliers and sub-contractors for the performance of any contract we enter into with them; for example IT service providers such as website host; or cloud storage providers;
(c) financial companies such as Stripe, and PayPal that collect personal data from you directly, on our behalf;
(d) professional service providers, such as accountants and lawyers;
(e) external social media platforms; and/or
(f) regulatory authorities, such as tax authorities.

8. Exercising your rights

Where we rely on your consent to use your personal information, you have the right to withdraw that consent at any time. This includes the right to ask us to stop using your personal information for marketing or fundraising purposes or to unsubscribe from our email list at any time. You also have the following rights:
(a) Right of access — you can request us to look for confirmation of what personal information we hold on you and to request a copy of that personal information.
(b) Right of erasure — you can request we will delete personal information from our records as long as there is no good evidence for maintaining your personal information or if it was collected for common use in accordance with the prior processing of your personal information.
(c) Right of rectification — if you believe our records of your personal information are inaccurate you have the right to ask for these records to be updated.
(d) Right to restrict processing — you have the right to ask us to restrict the processing of your personal information if there is a disagreement about its accuracy or legitimate usage.
(e) Right to object — you have the right to object to us processing where we are: (i) processing your personal information on the basis of the legitimate interest ground; (ii) using your personal information for direct marketing; or (iii) using your personal information for statistical purposes.

Changes to our privacy policy

Any changes we may make to our privacy policy in the future will be posted on this page - we will notify you of any significant changes by contacting you directly where reasonably possible for us to do so and by posting a notice on our website, we would ask you to periodially check.
